Quick answer

The best resume format for most jobs in India is reverse-chronological: your name and contact details, a 2–3 line summary, work experience (latest job first), projects, education and skills, in one column with standard headings. Freshers keep it to one page and put education and projects first; experienced candidates lead with work history and use up to two pages. Send it as a text-based PDF unless the employer asks for Word.

  • Reverse-chronological for almost everyone; combination format only for career changers and returners.
  • Freshers: one page, education and projects before skills.
  • 2+ years: experience first, one to two pages.
  • Government jobs: follow the format in the official notification.

What are the 3 types of resume format, and which should you use?

There are three standard resume formats: reverse-chronological, functional and combination (also called hybrid). Use reverse-chronological unless you have a clear reason not to. It is the layout Indian recruiters read fastest and the one applicant tracking systems (ATS) parse most reliably, because job titles, employers and dates sit where the software expects them.

The three resume formats compared
FormatHow it is organisedUse it whenAvoid it when
Reverse-chronologicalExperience and education listed latest first, with datesYou are a fresher, or your work history is steady. This covers most people.Rarely; even long gaps can be explained in one line
Functional (skills-based)Grouped under skill headings; job titles and dates minimal or missingAlmost never for Indian private-sector jobsYou are applying through Naukri-style portals or company ATS; missing dates read as hiding something
Combination (hybrid)A short skills block on top, then reverse-chronological experienceYou are changing careers, returning after a break, or have varied freelance workYou are a fresher; the skills block just pushes your education down
Returning after a career break? Use the combination format and add one honest line where the gap falls, for example: “Career break, 2023–2025: family care; completed Google Data Analytics certificate.” That works better than a functional layout that hides the dates.

Which resume format should you use for your experience level?

The format stays reverse-chronological; what changes with experience is the section order and the length. Put your strongest proof for the job directly under the summary.

Section order and length by career stage
ExperienceLengthOrder after contact + summaryDetailed guide
Fresher (0 years)1 pageEducation → Projects → Internships → Skills → CertificationsResume format for freshers
1–3 years1 pageExperience → Projects → Skills → Education2–5 years experience format
3–5 years1–2 pagesExperience → Key achievements → Skills → Education2–5 years experience format
5+ years2 pagesExperience (last 10 years in detail) → Skills → Education → CertificationsExperienced resume format

Drop Class X and XII marks once you have two to three years of work, unless an application form asks for them. Keep CGPA for the first few years if it helps you; remove it later. If you are short of space, read how to fit a resume on one page.

What sections go in a resume, and what goes in each?

A resume for a job needs six core sections. Everything else is optional and earns its place only if it helps for this particular job.

  1. 1

    Header (contact details)

Full name in the largest font, then city and state, mobile number with +91, a professional email and your LinkedIn URL. No full home address, no “Resume” or “Curriculum Vitae” title at the top.

  2. 2

    Summary (2–3 lines)

Who you are, your experience in years, your two or three strongest skills and the role you want. Freshers can call this a career objective, but write it about what you offer, not “to get a job in a reputed company”.

  3. 3

    Work experience

Job title, company, city and month–year dates for each role, latest first. Under each, 3–5 bullets that start with an action verb and say what you did and what changed. Add numbers only when you can explain them in an interview.

  4. 4

    Projects

Essential for freshers and tech roles: project name, tools used, your part, and the outcome. Link to GitHub or a live demo if you have one.

  5. 5

    Education

Degree and branch, college, university, years and CGPA or percentage. Freshers also list Class XII and Class X with board, year and marks.

  6. 6

    Skills

Hard skills and tools that appear in the job description, as a plain comma-separated list. Skip skill bars and star ratings; an ATS cannot read them and recruiters do not trust them.

  7. 7

    Optional: certifications, achievements, languages

Add NPTEL, Coursera or vendor certifications, awards, ranks, hackathons and languages you speak, if they are relevant. A declaration line and personal details (date of birth, father's name, marital status) are expected mainly in government and some traditional employers' formats; leave them out otherwise.

Does the resume format change for different jobs?

The structure stays the same for most private-sector jobs; what changes is which section leads and which details are expected. Government jobs are the main exception, because the notification can prescribe its own format.

Should you send your resume in Word or PDF format?

Send a text-based PDF by default. It looks the same on every phone and laptop, and modern ATS read it without trouble. Send a Word (.docx) file only when the job post or portal asks for one, or when a recruitment consultant needs to edit it.

PDFWord (.docx)
Layout on recruiter's screenStays exactly as you designed itCan shift with fonts and Word versions
ATS readingFine if the text can be selected and copiedFine; some older systems prefer it
Editing by othersHardEasy (useful for consultants)
When to useDefault for email, Naukri-style portals, LinkedIn, company sitesWhen asked, or for agencies
Test any PDF before sending: open it, select all the text and paste it into Notepad. If it comes out jumbled or empty (as happens with scanned or image-based PDFs), an ATS will read it the same way.

Want to make it in Microsoft Word yourself? Our resume format in Word guide covers margins, fonts, heading styles and how to save it as a clean PDF.

How do you make your resume format ATS-friendly?

Keep the structure boring and the content specific. An ATS reads text in order, so anything that breaks that order (columns, tables, text boxes, images) can scramble your details.

DoDon't
Use one column and standard headings: Experience, Education, SkillsUse creative headings like “My Journey” or “Where I've Been”
Put contact details in the body, not the page header/footerPut your name or phone number inside a header, image or text box
Use common fonts (Calibri, Arial, Georgia) at 10–12 ptUse icons, skill bars, photos or logos to carry information
Write dates as “Jul 2023 – Present”Leave out dates or use only years for recent roles
Mirror exact skills from the job description where they are truePaste keywords in white text or list skills you cannot discuss

For a deeper walk-through, read how to make an ATS-friendly resume, then run your file through the ATS score checker to see which job-description keywords are missing. Your first check is free.

Resume, CV or biodata: which format does the employer want?

In India the three words are often used loosely, but they mean different documents. A resume is a one-to-two-page summary for private-sector jobs. A CV is a longer, complete record used for academic, research and many overseas applications. A biodata adds personal details (date of birth, family, address) and is still asked for by some government offices, schools and smaller firms.

If the job post says “send your CV”, a well-formatted resume is almost always what they mean. See resume vs CV for the differences and biodata format for job if an employer explicitly asks for a biodata.

Name and contact details, a 2–3 line summary, work experience (latest first), projects, education, skills and certifications, in one column with plain headings. Copy the template on this page to start.

Should I put a photo on my resume?

Not for most private-sector jobs in India. Add one only if the employer or the government notification asks for it.
