Resume format in Word: how to set it up and save it properly
Word is fine for writing a resume. The trouble starts with Word's tables, text boxes and fancy built-in templates, which look good on screen and fall apart in an applicant tracking system. Here is a setup that stays clean.

Quick answer
To make a resume format in Word, start from a blank document, set margins to 1.27–2 cm, use one font such as Calibri or Arial at 10.5–11 pt for body text, and type your sections (Summary, Work Experience, Projects, Education, Skills) as Heading 2 in a single column. Avoid tables, text boxes and the page header. Save a .docx copy, then use File → Save As → PDF for sending.
- Blank document, single column, no tables or text boxes.
- One font, 10.5–11 pt body, 14–18 pt name.
- Use Heading styles for section titles so spacing stays consistent.
- Keep the .docx for editing; send the PDF unless asked for Word.
How do you set up a resume page in Word?
Set the page once before typing, so you don't fight the layout later. These settings fit a fresher resume on one page and an experienced one on two, while staying easy to read.
| Setting | Where in Word | Value |
|---|---|---|
| Paper size | Layout → Size | A4 (Indian and most overseas employers) |
| Margins | Layout → Margins → Custom | 1.27 cm (Narrow) to 2 cm on all sides |
| Body font | Home → Font | Calibri, Arial or Georgia, 10.5–11 pt |
| Name | Home → Font | Same font, 16–18 pt, bold |
| Section headings | Home → Styles → Heading 2 | 11–12 pt bold, small space before |
| Line spacing | Home → Paragraph | 1.0–1.15, 4–6 pt after paragraphs |
| Bullets | Home → Bullets | Simple round bullet, not icons or images |
What resume format should you type into Word?
Use the reverse-chronological format in one column. Paste this plain-text template into a blank Word document, apply Heading 2 to each capitalised section title, and replace the brackets.
Resume format for Word (plain text)
FULL NAME City, State | +91 XXXXX XXXXX | name@email.com | linkedin.com/in/yourname SUMMARY [Role or degree] with [experience] in [2–3 skills from the job post]. [One line on what you want to do next.] WORK EXPERIENCE [Job Title], [Company], [City] | [Mon YYYY] – Present • [Action verb + task + result you can explain] • [Action verb + tool/process + who benefited] PROJECTS [Project name] | [Tools] | [YYYY] • [What it does and your part] EDUCATION [Degree, Branch], [College], [University] | [YYYY–YYYY] | CGPA [X.X/10] Class XII, [Board] | [YYYY] | [XX%] Class X, [Board] | [YYYY] | [XX%] SKILLS [Skill], [Skill], [Tool], [Tool] CERTIFICATIONS [Name], [Issuer] | [YYYY]
Freshers should move Education and Projects above Work Experience. For why this order works and how it changes with experience, see the resume format guide.
Which Word features break a resume in ATS?
Anything that places text outside the normal reading order. An ATS extracts the text line by line; it may skip or jumble content held in these features.
- Text boxes and shapes: often skipped entirely. Type straight onto the page instead.
- Tables for layout: two-column tables can merge your left and right columns into one confusing line. Use tabs or a single column.
- Header and footer: some systems ignore them, so a phone number placed there may never reach the recruiter. Keep contact details in the body.
- Icons, photos and skill bars: carry no readable text. Write “Email:” or just the address; list skills as words.
- Fancy built-in templates: many Word and online templates use all of the above. Check a template by selecting all text and pasting it into Notepad before you use it.
Should you send the Word file or a PDF?
Send a PDF unless the employer asks for Word. A PDF keeps your layout fixed on every device; a .docx can reflow when the recruiter has different fonts or a different Word version. Some recruitment consultants and older portals ask for .docx because they edit or re-upload it; send Word then.
- 1
Keep a master .docx
File → Save As → Word Document. Name it Firstname-Lastname-Resume.docx. This is the copy you edit for each job.
- 2
Export a PDF
File → Save As (or Export) → PDF. In Options, keep “Document structure tags for accessibility” ticked so the text stays selectable.
- 3
Test it
Open the PDF, select all, copy and paste into Notepad. Clean text in the right order means an ATS can read it too.
Using Google Docs instead? The same rules apply: File → Download → PDF Document (.pdf) or Microsoft Word (.docx).
Is there a faster way than formatting in Word?
If you would rather not manage margins and styles, the ResumeGyani builder lays out your content in any of 49 templates with standard headings, and you can switch templates without retyping. Building and previewing are free; the watermark-free PDF download is paid. Before sending, check the file with the ATS score checker; the first check is free.

Questions people ask
Is Word a good format for a resume?
Yes for writing and editing. For sending, a PDF exported from Word is safer unless the employer asks for a .docx file.
What is the best font for a resume in Word?
A plain, widely installed font such as Calibri, Arial or Georgia, at 10.5–11 pt for body text. Use one font for the whole resume.
Can I use a table in my Word resume?
Avoid tables for the main layout, because an ATS can merge the columns. A simple one-row table for Class X and XII marks is usually fine, but plain lines are safer.
What margins should a resume have in Word?
Between 1.27 cm (Word's Narrow setting) and 2 cm on all sides, on A4 paper.
How do I convert my Word resume to PDF?
Use File → Save As or Export → PDF in Word, or File → Download → PDF in Google Docs. Then copy the PDF's text into Notepad to confirm it is readable.
Are Word's built-in resume templates ATS-friendly?
Many use text boxes, tables or two columns, which some ATS read badly. Test any template by pasting its text into Notepad before you use it.
