How to make an ATS-friendly résumé (India, with examples)

An ATS-friendly résumé is one that software can read cleanly and a recruiter can find by searching. That comes down to two things you control: a simple layout and the right words from the job description.

Quick answer

To make an ATS-friendly résumé, use a single-column layout with standard headings (Summary, Experience, Projects, Education, Skills), keep all key information in plain text — not in tables, text boxes, images or headers — save it as a text-based PDF, and use the exact skill and job-title words from the job description in your summary, bullets and skills section.

  • Layout decides whether the ATS can read your résumé at all.
  • Keywords decide whether a recruiter finds it when they search.
  • Check both with an ATS checker against the actual job description before you apply.

What does an ATS actually do with your résumé?

An applicant tracking system (ATS) is the software a company or job portal uses to collect applications, store résumés and let recruiters search and shortlist them. It does three things that affect you.

  1. 1

    Parses the file

It extracts text from your PDF or Word file and tries to sort it into fields: name, phone, email, job titles, employers, dates, degree, skills. If the layout confuses the parser, information lands in the wrong field or goes missing.

  2. 2

    Matches keywords

Many systems compare the words on your résumé with the job's requirements and show the recruiter a match score or ranking. Exact terms matter: “React.js” and “ReactJS” may or may not be treated as the same, depending on the system.

  3. 3

    Lets recruiters search

Recruiters filter and search the candidate database — for example, “Java AND Spring Boot”, location “Pune”, experience 2–4 years. If a skill is not written on your résumé in words, you will not appear in that search.

An ATS rarely “rejects” a résumé on its own the way people fear. The real risk is quieter: a badly parsed résumé shows up with blank fields, and a résumé without the right words never comes up in a recruiter's search.

What format makes a résumé ATS-friendly?

A plain, single-column, text-based résumé with standard section headings is the safest ATS format. Design can still look professional — it just has to be built from real text, not graphics.

DoAvoid
Single column, top-to-bottom reading orderTwo or three columns where skills or dates sit in a sidebar
Standard headings: Summary, Experience, Projects, Education, Skills, CertificationsCreative headings: “My Journey”, “What I Bring”, “Tech Arsenal”
Contact details in the main body, at the topPhone and email inside the page header/footer or an image
Plain bullets (• or –)Tables, text boxes, icons and skill-rating bars for key information
Text-based PDF exported from Word, Google Docs or a résumé builderScanned PDFs, photos of a résumé, or designs flattened into an image
Common fonts (Arial, Calibri, Helvetica, Georgia, Times New Roman) at 10–12 ptDecorative fonts, very small text, white text to hide keywords
Dates in a consistent format: “Jun 2023 – Present”Mixed formats or dates only shown as a graphic timeline

Quick test: open your PDF, select all the text (Ctrl+A), copy it and paste it into Notepad. If the text comes out in a sensible order with nothing missing, most parsers will read it too. If sections are jumbled or your skills disappear, the layout is the problem.

PDF vs Word: a text-based PDF is fine for almost all modern systems and keeps your formatting. If an application form specifically asks for .doc or .docx, send that instead.

How do you find and use keywords from a job description?

Take the words from the job description's requirements, check which ones genuinely apply to you, and write them in the same form in your summary, experience bullets and skills section. Here is a worked example.

Sample job description (shortened)

Data Analyst — Bengaluru — 1–3 years
Requirements: Strong SQL and Excel (pivot tables, VLOOKUP). Experience building dashboards in Power BI or Tableau. Python (pandas) is a plus. Ability to present insights to business stakeholders. Experience with A/B testing preferred.

TypeKeywords
Job titleData Analyst
Must-have skillsSQL, Excel, pivot tables, VLOOKUP, Power BI or Tableau, dashboards
Nice-to-havePython, pandas, A/B testing
Soft skill / contextpresenting insights to business stakeholders

Before

Made reports for the sales team using various tools and helped management with data.

After

Built 6 Power BI dashboards from SQL queries on sales data, replacing manual Excel reports; presented weekly insights to regional sales heads.

The after version uses the JD's words — Power BI, dashboards, SQL, Excel, insights — and a real number. Only add a keyword if you have actually done it; you will be asked about it in the interview.

  • Use the job title from the posting in your summary line if it honestly describes you (“Data Analyst with 2 years…”).
  • Write both forms of acronyms once: “Search Engine Optimisation (SEO)”, “Applicant Tracking System (ATS)”.
  • Put skills in context. A bullet that shows you used SQL counts for more with a recruiter than a word in a list.
  • Do not stuff. Repeating a keyword ten times or hiding it in white text does not help with a human reader and can get you flagged.

Which ATS do Indian employers use?

Indian employers use a mix of global and local systems — commonly used systems include Workday, Taleo, SuccessFactors and Naukri RMS, along with many smaller tools and in-house portals. You usually cannot tell which one a company uses, and you do not need to.

The rules on this page work across all of them, because they all have the same basic job: turn your file into text, then let a recruiter search and filter it. A clean single-column résumé with the right keywords is readable everywhere. If you mainly apply through Naukri, read our Naukri ATS guide for how recruiters search the portal's database.

What does an ATS-friendly résumé look like?

An ATS-friendly résumé looks plain at the top and specific in the body: contact details as text, a two-line summary with the target job title, then experience bullets that start with a verb and name the tools used.

Before

[Photo] | Sidebar: skill bars — Java ★★★★☆, SQL ★★★☆☆ | Heading: “My Professional Journey” | Contact details inside the page header | Objective: “Seeking a challenging role in a reputed organisation.”

After

Rohan Mehta · Pune · +91 9XXXX XXXXX · rohan.mehta@email.com · linkedin.com/in/rohanmehta · Summary: Java Backend Developer with 3 years building REST APIs in Spring Boot and MySQL. · Experience → Skills: Java, Spring Boot, MySQL, REST APIs, Git, AWS (EC2, S3)

Same person, same skills. The second version can be parsed field by field and matches a recruiter search for “Java Spring Boot Pune”.

ATS-friendly résumé checklist

  • Single-column layout; nothing important in a sidebar, table, text box or image.
  • Name, phone, email, city and LinkedIn as plain text at the top (not in the header/footer).
  • Standard headings: Summary, Experience, Projects, Education, Skills, Certifications.
  • Target job title from the JD appears in your summary.
  • Must-have skills from the JD appear in Skills and inside at least one bullet — only if true.
  • Bullets start with action verbs and include numbers where you have them.
  • Consistent dates (Month Year – Month Year).
  • Text-based PDF, under a few MB, with a clear file name such as Rohan_Mehta_Java_Developer.pdf.
  • Copy-paste test passes: text comes out in the right order.
  • Checked against the job description with an ATS score checker.

Questions people ask

What is an ATS-friendly résumé?

A résumé that applicant tracking software can read correctly and that contains the keywords recruiters search for. In practice: single column, standard headings, text-based PDF and skills worded the way the job description words them.

Are Canva résumés ATS-friendly?

Some are, many are not. Designs with columns, icons, text boxes or text placed as images often parse badly. Run the copy-paste test or an ATS checker; if the text comes out jumbled, switch to a simpler template.

Should I use PDF or Word for ATS?

A text-based PDF works with almost all current systems and keeps your layout intact. Use .docx only when the application asks for it.

Can I use two columns if the design looks better?

It is a risk. Some parsers read across both columns line by line and mix your content. If key information like skills or dates sits in a second column, use a single-column layout instead.

Does a photo hurt ATS parsing?

The photo itself is simply ignored by most systems, but photo-based layouts often push contact details into boxes or headers that do not parse well. Most private-sector jobs in India do not need a photo.

What is a good ATS score?

Scores differ between tools, so use them to compare versions of your own résumé against the same job description. Focus on fixing missing must-have keywords and parsing errors rather than chasing a particular number.

Does every company in India use an ATS?

Not every company, but most mid-size and large employers and the big job portals use some form of applicant tracking or résumé database. Writing for an ATS also makes your résumé easier for a human to scan, so there is no downside.
